Operations Assistant
We are seeking an Operations Assistant to support the leadership team for our client, a small financial services firm. This position is ideal for someone who enjoys wearing multiple hats - part executive assistant, part operations coordinator, part problem solver.
The Operations Assistant will serve as a trusted partner to senior management, ensuring the office operates smoothly while also improving systems and processes. This is a great opportunity for a motivated, tech-savvy professional who thrives in a dynamic and client-focused environment.
Candidates must be local to the area, this role is fully on site in Duxbury, MA. Compensation: $75K-$85K
*Listed not guaranteed – potential offers vary based on experience level, qualifications, and internal equity and may be outside of this range. Key Responsibilities - Manage executive calendars, priorities, and travel arrangements
- Coordinate client meetings, office visits, and related logistics
- Maintain and improve task and follow-up systems
- Act as the first point of contact for clients and visitors
- Maintain CRM and client communication touchpoints
- Assist with newsletters and marketing activities (Mailchimp, LinkedIn, Canva)
- Oversee day-to-day office operations and light HR administration
- Support basic bookkeeping tasks and vendor coordination
- Identify process inefficiencies and implement improvements
Qualifications - 5+ years of experience in executive or operations support
- Strong organizational, communication, and problem-solving skills
- Client service–oriented with a professional, polished demeanor
- Proficient with Mac OS, Microsoft Office, Zoom, Canva, Mailchimp, LinkedIn
- Basic understanding of financial or HR processes
- Bachelor’s degree preferred
